Confirm the requirement before planning action

A compliance action needs a clearly identified requirement. Record the policy, contract, procedure or other approved source and its applicable version. Ask the responsible specialist to confirm applicability where interpretation is needed. This template does not provide legal advice.

For a fictional organisation, an internal procedure requires equipment access to be reviewed at a defined milestone. The practice question is how to address records that do not show that review. It does not establish a legal obligation or a universal deadline.

Describe the gap precisely

State what was expected and what was observed. Record the evidence and scope of the review. Do not turn an incomplete record into a broad claim that the organisation is non-compliant.

In the fictional example, the selected record does not contain the required review entry. The team needs to confirm whether the review happened, whether the record is missing and whether the procedure applied at the time.

Agree an action with the right authority

Identify a specific action that addresses the confirmed gap. Name the owner and decision maker, with a realistic due date. Record dependencies and the authority needed for a change to access or process.

An action might involve checking the missing evidence, correcting an authorised record or improving the timing of the review step. Do not prescribe a corrective measure before understanding the condition and obtaining approval.

Define completion evidence

Decide what will show that the action has been carried out. A task being marked complete is not always enough to establish that the intended result occurred. Record the evidence location and the person who will review it.

For the fictional process, a completed review record may support the immediate action. A later process check may be needed to see whether the revised timing works. These are different questions and should not be combined into one unqualified completion statement.

Review and close the action

Check the outcome against the agreed completion conditions. Record who reviewed it, when and what remains unresolved. If a change has not achieved its purpose, revise or escalate through the approved route rather than closing the action for appearance.

Download the template, complete it with a fictional internal-policy example and ask a colleague to check whether the requirement, gap, action and completion evidence are clearly connected.
